Glacier Interface Process
HRS is updated during the Glacier-HRS interfaces. Please adhere to these guidelines when updating HRS for specified foreign national (FNL) payees*:
- While the interface is running, do not update the following HRS pages:
- Personal Information
- Citizenship Identification (visa, passport)
- Job Data
- Employee Tax Data pages
- Between interface completion and the corresponding payroll confirm (approximate 7-day window), report the following changes to the appropriate Glacier account administrator: (ONLY report changes if the person will be paid on that confirm)
- Citizenship (visa, passport)
- Job Data – Report if the position start date is changed to fall within the pay period. Also report any changes which cause a pay group change.
- Tax Data page changes to either the Federal Special Withholding Tax Status or State Special Tax Status settings
*FNLs whose changes need reporting are those who:
- Have a visa or FNL code in HRS (unless they also have a visa row with the PR visa type containing an effective date prior to the date of the last Glacier interface).
Note: Visa rows display in alpha order. Select ‘Include History’ and scroll through all rows. More information on viewing visa rows is available in KB 27630.
